Purpose of Position:
The Compliance Coordinator is responsible for ensuring that all new driver onboarding documentation meets DOT compliance requirements and that drivers are fully prepared for Orientation and Operations.
This role maintains accurate records and data to ensure Company Drivers and Owner/Operators comply with all regulatory and legislative requirements. Additionally, the Compliance Coordinator assists drivers with inquiries related to license renewals, medicals, fuel cards, and certification updates while providing administrative support to the Safety and Compliance department
Key Accountabilities:
- Manage and maintain all printed and electronic driver qualification files, medical files, and compliance files in a secure and confidential manner
- Respond to driver inquiries in person, by phone and electronically
- Verifying driver files are compliant with DOT regulations, standards and accurate index and filing, ensure onboarding documentation is ready for orientation class (fuel cards are assigned, dangerous goods card and assignment of ID
- Review and process all driver applicant qualification documents for accuracy and completeness
- Assist the Recruiting team in completing the DOT file for new hires, including but not limited to, completing reference checks, scheduling DOT drug testing, and finalizing onboarding
- Coordinate and provide drivers with information and services regarding S. Tolls and Scale Transponders
- Performs administrative tasks such as Driver file projects and yearly qualification pull
- Perform other duties as required
Qualifications:
- Post-secondary degree or diploma in Health and Safety or a related field
- Two (2) to five (5) years of compliance or transportation experience
- Knowledge of Hours of Service regulations for both Canada and the US
- Knowledge of current workplace health and safety issues
- Intermediate to advanced Microsoft Office skills
- Experience in the transportation industry considered to be an asset

Supervision:
This position reports to the Compliance Supervisor. The immediate supervisor and/or department leader periodically checks assignments for progress. This position has no authority over other members of the team and has no direct reports.
Decision Making and Judgement:
Most instructions are available for assigned work or objectives, with some choice in setting priorities for tasks. Guidance, procedures or standards are easily available if needed and work may be checked for completeness, accuracy or quality. Problems are somewhat routine/repetitive, choices involve interpretation of directions, procedures, past precedent and new practices (often involving a manager or higher up to strategize future direction).
Impact of Errors:
If an error was made in this position it could result in fines and increased insurance costs.
If the driver certificate dates were entered incorrectly, the driver could not be dispatched which could cause lateness and failed loads.
This position will be working in an office environment, using typical office equipment. This position will wear PPE as required when in the terminal yard, warehouse and/or maintenance shop areas.
